This Privacy Policy explains how SuperScout collects, uses, shares, and retains personal information when used by a customer organization to evaluate candidates. For candidate data, the customer organization is the controller and PLS 3rd Learning is the processor.
1. Information we collect
Account data for evaluators/administrators (name, email, role); candidate data submitted by the customer or by candidates via the portal (contact details, resumes and other documents, interview responses, and — where enabled — phone-interview recordings and transcripts); and operational logs (including audit and security events such as login activity).
2. How we use it
To provide the evaluation Service: extracting profile information from documents, AI-assisted scoring against job criteria, interview support, and generating summary/packet documents — always to assist a human decision-maker, never to make an automated hiring decision.
3. AI processing & sub-processors
AI features may send candidate content to AI providers configured by the deployment (e.g. a local model, OpenAI, Anthropic, or Amazon Bedrock) and telephony to Twilio. Sub-processors are engaged under terms that prohibit training on customer data where applicable. A current sub-processor list will be published. [List + transfer mechanisms to be finalized.]
4. Retention & deletion
Candidate documents, extracted text, AI output, transcripts, and generated files are retained per the configured retention schedule and then deleted or anonymized; a legal hold suspends deletion during litigation or investigation. Audit logs are retained for a defined period as security/compliance evidence.
5. Your rights
Depending on jurisdiction, individuals may request access, correction, deletion, or restriction of their personal information, and may appeal decisions involving high-risk automated tools. Candidates should direct requests to the customer organization evaluating them; we assist customers in fulfilling verified requests.
6. Security
We apply access controls, audit logging, transport encryption, and the safeguards described in our security documentation. No method of transmission or storage is perfectly secure.
